The Accounts Payable Specialist will perform a large variety of daily tasks and special projects to support vendor maintenance, buy backs, and BOCs. Responsible for assisting in the day-to-day processing of accounts payable functions; including monitoring AP system e-tools, auditing records of amounts owed, verifying invoices, computing discounts, GL coding expenses and preparing batches for validation.


Daily tasks and projects will be assigned with deadlines to support the accuracy of the AP systems.



  • Provides level one support of phone and email captivity for invoices, expense reports and check requests.
  • Performs daily audits to ensure data integrity and compliance with AP policies. Researches and resolves audit issues in a timely manner.
  • If part of the vendor maintenance team, will spearhead the update/maintenance of the vendor master in Oracle to ensure that the updates and new vendor setups into the vendor master are done according to AP policy and procedures.
  • Creates information based vendor maintenance documentation for fields in regard to buy backs. Creates vendor list tables to merge into vendor notifications to be mailed to new, existing and BOC vendors.
  • Develops and maintains all departmental procedures, forms, and documentation.
  • Provides support necessary to pay the obligations of the organization. Interacts with vendors and branches by responding to inquiries, researching payment status, resolving problems, and providing AP processing instructions.
  • Performs any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounts payable records.
  • Responsible for monitoring the AP queues in Catalyst and Concur, as well as, all AP mailboxes. Audits all expense reports and invoice items for proper approvals and accuracy. Reviews documentation and returns to originator for receipts or approvals as required.
  • Handling the AP call center – Servicing customers by determining requirements; answering inquiries; resolving problems; fulfilling requests; maintaining call center database.
  • Coordinates check runs with Supervisor based on Company procedures.



  • Participates in special projects and performs other duties as assigned. Generates and runs reports as needed.
  • Assigned specialist projects relating to streamlining data entry into Oracle via designing and implementing macros.

  • Associates Degree or the equivalent of 3-5 years of AP experience.
  • Customer service experience preferred.  Customer service skills including customer focus, listening, phone skills, verbal communication, building relationships, people skills, interpersonal savvy, problem solving, and multi-tasking. 
  • Experience with Accounts Payable Systems. Oracle experiences a plus.
  • Must be computer proficient with solid knowledge of Windows, MS Word and Excel.
  • Must be able to learn new software programs with ease.
