The Executive Assistant provides general and confidential administrative support for one or more members of human resource executives/leaders.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinates and supports the daily operations and activities of the human resources department and leadership team.
  • Provides administrative support for executives, including, but not limited to managing schedules and calendars and arranging travel.
  • Coordinates meetings, training sessions and other activities, including scheduling locations, securing refreshments, scheduling and confirming participants and ensuring supply availability.
  • Completes multiple project related tasks simultaneously and with minimal supervision, with a focus on completing projects effectively and in a timely manner.
  • Handles a broad range of routine and/or confidential human resource related matters and inquiries, including, but not limited to employee files and records requests, compliance, compensation and a variety of human resources programs.
  • Plays a lead role in HR culture committee and arrang.es activities around this initiative
  • Develops communication plans, assists and/or writes communications and distributes accordingly as needed.
  • Documents and maintains step-by-step processes for all human resources functions to facilitate transition of duties during vacations and other absences.
  • Assists with documenting and developing human resources departmental and employee related policies, procedures and best practices
  • Maintains office supply and equipment inventory, including ordering, handling returns/exchanges, and payments with vendors and coordinating the delivery, return, and maintenance of equipment.
  • Greets and sets up workspaces for visitors, interfacing with partners to ensure proper access and equipment are assigned. 

SECONDARY FUNCTIONS:

  • Participates in special projects and performs other duties as assigned.

Qualifications

EDUCATION/EXPERIENCE & OTHER POSITION REQUIREMENTS:

  • Associate’s degree with a minimum of five (5) years of related work experience; or equivalent combination of post high school education and experience.
  • Ability to communicate effectively verbally and in writing.
  • Ability to effectively manage projects that vary in nature and complexity.
  • Intermediate proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to learn new computer systems and software packages with ease.
  • Ability to maintain high degree of confidentiality and handle highly sensitive information.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines.
