The Colleague Payroll Specialist processes payroll in accordance with approved colleague payroll policies, procedures and best practices. Stays abreast to federal, state, and local payroll laws, rules, and regulations. Performs data entry to maintain current personnel records in Human Resources Management System (HRMS) throughout the lifecycle of colleagues; hire to termination.  Works under general supervision.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides excellent customer service to all customers, including field and corporate colleagues, field managers, HR peers, and colleague payroll peers.
  • Demonstrates strong troubleshooting, analytical and technical ability.
  • Creates personnel records in HRMS for all newly hired or rehired colleagues, working with HR Onboarding to ensure complete and accurate information.
  • Performs data entry for all actionable changes to colleague records in HRMS, including but not limited to transfers, promotions, merit increases, leaves of absences, and terminations.
  • Understands compensation plans to ensure accurate entry and pay to colleagues.
  • Prepares two semi-monthly payrolls each month and participate in final processing.
  • Process garnishments and levies in accordance with federal and state requirements.
  • Complete escalated verification of employment (VOE) requests and troubleshoot escalation reasons as all VOE should be feasible through The Work Number.
  • Ensures colleague files are complete and properly filed and maintained.
  • Processes stop payment and paycheck corrections as needed and ensure bank processing via positive pay notification.
  • Prepares communications, monitors, and tracks overpayments. Works with Legal and Employee Relations to ensure prompt resolution of overpayments

SECONDARY FUNCTIONS:

  • Actively participates and contributes to the creation of annual goals. Helps formulate the plan to accomplish those goals.
  • Participates in special projects and performs other duties as assigned.

 

Qualifications

EDUCATION & JOB REQUIREMENTS:

High school diploma or equivalent with a minimum of two (2) years of payroll experience for a large, multi-state organization.

Previous experience utilizing Human Resources Management Systems (HRMS) required.

Experience with PeopleSoft 9.2 or higher is preferred.

 

COMPETENCIES:

  • Skilled in communicating effectively verbally and in writing.
  • Ability to demonstrate high-level customer service.
  • Ability to establish and maintain effective working relationships.
  • Ability to multi-task in a highly detail-oriented environment.
  • Knowledge of and the ability to interpret and apply federal, state and local laws, rules, and regulations related to payroll.
  • Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook.
